Here is a quick review of the process and where we come in:
We design a machine-readable evaluation form based on your requirements, starting at $300 for a one-page survey. This includes the configuration of the Excel spreadsheet that is later used to capture and tabulate the data.
If you want to pre-fill your evaluation forms with session titles, speaker names, etc. we can do this for you, starting at $100. Some customers choose to print a list of sessions on the form and attendees simply mark the correct one. Others print one generic evaluation form and keep them separated out by session by collecting them in session-specific envelopes.
About half of our customers print the forms locally themselves, the other half has us print them and ship them to the conference venue. Whatever works best for you.
DISTRIBUTION AND COLLECTION
This is understandably your responsibility. Some customers ship us the filled-in evaluations directly from the conference venue, others later after they have arrived back to the office.
We have a few customers who like to scan the forms themselves and then they just email us the scanned images for processing. It saves on shipping and if you have access to a great scanner, more power (and savings) to you. But generally we scan the conference evaluations after our customer ship them to us in Utah.
Usually within 3 business days of receiving your evaluation forms we provide you with session-specific reports in either PDF or Excel format (or both if you want). Occasionally, a customer prefers to get the raw data and that is readily available as well. If you need a specific report, such as a summary report with an average score for all the sessions or something by ZIP-code or… talk to us and we’ll provide you a quote.
This is the main service we provide, we capture the data from your paper forms into a customized Excel spreadsheet. We do this for $0.15 per page (regardless if the evaluation is provided in paper form or electronic (already scanned) form). If we need to remove forms from envelopes we charge an extra $3.50 per batch. Other additional charges don’t usually arise, but we do reserve the right to charge more when forms are badly mutilated or require additional handling such as unfolding them. We’d let you know when we receive the forms and before we get started with the scanning.
Many surveys include one or more questions asking for comments and feedback. We can deal with these in a variety of ways, however you prefer.
Keep the comments at the bottom of the evaluation and then cut or tear the comments off and send us the qualitative section only.
Let us capture the comments manually for $35/hour. It’s hard to estimate this because depending on your attendees comments can vary greatly. But a rough estimate would be to capture the short comments of 2 questions in 1 minute.
Or we can clip comments from the individual surveys and then paste them into a PDF. You’ll end up with a multi-page PDF for each session that has 3-6 comments per page. This starts at $100 per conference and varies with the number of qualitative questions and the number of evaluation forms.
If you read all of the information above you probably have a rough idea of what to expect, which is hopefully better than just a generic invitation to ask for a quote. You’ve probably also read a lot of ‘usually’ and ‘starting at’ and ‘optional’. The fact remains that your requirements and processes are probably just a little different from another customer’s.
